ECM Integration and Mobile Access

Clarity has provided a suite of enterprise content management solutions for Cambridgeshire Fire and Rescue Service, including an enterprise document and records management solution, a fire service website and a corporate intranet. We have also developed integration between these solutions and the fire service’s critical line of business systems in order to support seamless information-driven business processes.

Document Management

Clarity designed and implemented a document and records management solution based on OpenText eDOCS, which was initially used by over 200 personnel and was subsequently upgraded to an enterprise-wide DMS licence to enable use by personnel throughout the fire service.

The EDRMS has increased the security and integrity of Cambridgeshire Fire’s document and records management arrangements and made a significant contribution to the achievement of certification to the ISO 27001 information security management standard.

The EDRMS has provided an easily searchable knowledge base that has reduced rework. Remote access to the EDRMS is also being used to support business continuity and facilitate more effective use of home-based working arrangements.

 

Content Management

Clarity designed and implemented a fire service website and a corporate intranet that both comply with accessibility standards and utilise personalisation extensively. Examples include:

  • ­The ability to select alternative colour schemes (using content style sheets) and font sizes with a single mouse click.
  • ­A configurable area of the homepage that allows users to select several “Quick Links” which provide quick access to user-specified internal areas within the site and/or to selected external sites (similar to browser bookmarking).

Following successful use of the website over several years, the fire service commissioned Clarity to refresh the site, providing a modern creative design and implementing a range of requested new features that increase usability and facilitate efficient access to pertinent content and features, regardless of users’ device types.

 

Systems Integration

Clarity has developed integration between our ECM solutions and the fire service’s critical line of business systems in order to support seamless information-driven business processes.

  • ­We developed .net web services to integrate the EDRMS with the CFRMIS fire safety and risk management system. This solution is used to capture documents produced by CFRMIS in the EDRMS automatically. This solution also provides CFRMIS users with a search interface that can be used to retrieve documents from the EDRMS while working within CFRMIS.
  • ­Clarity developed a bespoke integration between the Northgate Employee Resource Link system and the eDOCS EDRMS using VB.NET. This integration supports 2-way communication between these systems and allows HR personnel to access specific employee information from each environment and additionally avoids duplication of sensitive employee information.
  • ­We developed bespoke integration between the fire service EDRMS and the OpenText Website Manager CMS (aka RedDot). This integration includes a synchronisation utility for published documents and a web-based EDRMS search interface. The synchronisation utility is used to update published records on the fire service website and intranet automatically whenever new versions are approved in the EDRMS. The EDRMS search interface allows intranet and website users to search and retrieve documents from the fire service EDRMS, subject to appropriate access permissions.
  • ­Clarity deployed a SeeUnity integration solution, which is used to provide remote access to documents held in the EDRMS from mobile devices, including smartphones and tablets, while maintaining appropriate levels of information security management.
